*Last-minute rentals will incur a last-minute booking fee based on the package being rented.
*The quoted rental prices are applicable for setups on grass surfaces. Should the tent be reserved and subsequently require setup on cement, asphalt, or sand, an extra charge will be incurred for the specialized securing of the tent equipment.
Hard-to-Reach Setup Areas - An extra charge will be incurred for setup in hard-to-reach locations. Special equipment is necessary for the installation of a Clear Span Tent. If you have any doubts about the setup site, please reach out to our office for a complimentary site visit consultation.
Asphalt Setup and Cement Weights
*A 15% Drill & Fill Charge will be added for all tent setups on asphalt, concrete, or stone surfaces. Any holes created will be filled with asphalt filler.
*If cement weights are required (when drilling or steel spikes are not permissible), an additional fee per cement weight will apply.
*Please note that pole tents must be secured with stakes; cement weights cannot be used for this purpose.
Tent Walls
*Tent walls are priced at $1.00 to $2.50 per running foot for Marquee Frame Tents and Pole Tents.
Important Tent Terminology
*Setup/Drop off times for rentals are normally done day before your event and pickup of rental items done day after your event, if a longer rental duration is needed please contact our office.
*If any rental item is booked and then cancelled on the delivery day, the rental fee will still be charged; the rental cannot be cancelled and no refund will be issued.
*On setup day, once the tents are erected, they cannot be relocated. Should the client request a tent relocation, an extra fee will be charged.
*The specific date and time for setup will be confirmed during the week of the event; requests for specific timing may incur additional charges.
*No safety pins, duct tape, nails, or any sharp objects should be used on the tent walls or tents at any time. If such items are used, the customer will be liable for cleaning fees, repairs, and any damages incurred.
*We offer discounts for multiple tent rentals, as well as for charitable organizations and fundraisers.
*Prior to the arrival of your rental items, Special Events and Tents will inform the homeowner of the necessary instructions.
*Before setup, please contact Ontario One Call at 1-800-400-2255 or visit www.ontarioonecall.com to ensure there are no underground utilities. Special Events and Tents will not be held responsible for any damage to sprinkler systems or underground wiring.
*If tables and chairs remain set up beyond the scheduled teardown time and date, a minimum teardown fee of $350.00 will be applied. Tables and chairs should be stacked in the same manner as they were upon delivery.
Permit and Engineer Fees
*According to the Ontario Building Code (OBC), a tent permit is necessary for tents with a ground area of 60 square metres (646 square feet) or more. We can assist you in obtaining this permit, which will incur an additional fee. For larger tents (225 square metres or 2420 square feet), an engineer inspection is required before the structure can be occupied which will incur an additional engineer inspection fee.
*Should you choose to secure the tent permit yourself Special Events and Tents will provide the tent flame certificate, tent drawing and assist with site plan for all necessary permits to the relevant municipality and fire departments.
